Communications/Marketing

Webmaster

Webmasters manage, maintain and improve the performance of the PMI-LA Website.

Responsibilities

  • Maintain website for PMI-LA Community
  • Ensure the web servers, hardware and software are operating accurately
  • Design website
  • Generate and revise web pages
  • Examine and analyze site traffic
  • Create and modify appearance and setting of site
  • Lay out content on web page
  • Test websites to see if there are any parts that are difficult to use
  • Meet with designers to agree on site's design
  • Fix links that don't work and pictures that aren't appearing properly
  • Decide how site's content will be delivered to the Internet
  • Keep files small so sites load faster
  • Test different browsers and ensure people with different computers can access a website

Skills required

  • Strong communications and interpersonal skills
  • Strong organization and self- initiative
  • Strong customer focus

Approx hrs/month: 5-10 hours/month

Information System  Administrator

The Communications Team is currently looking for an Information System Administrator, who can provide technical support to Volunteers of PMI-LA. This includes all our website applications and their Databases. This individual will be responsible for answering technical questions, troubleshooting, resolving user’s issues, creating user accounts, and maintaining all servers. 
Responsibilities:

  • Troubleshoot the technical problems that volunteers encounter on a day to day basis.
  • Provide user account maintenance, and supply solutions derived through research and troubleshooting.
  • Communicate professionally with users and track/update information in the Helpdesk Tracking System.
  • Collaborate with PMI-LA staff to resolve outstanding issues.
  • Review log files, make system changes and resolve tickets in a timely manner.
  • Maintain Vendor information database and electronic e-mail distribution lists for newsletters and eBlasts.
  • Response time to users calls must be within or less than 24 hours.
  • Must attend the weekly team meeting and Quarterly meetings.

Skills Required:

  • Experience with Microsoft Windows servers, Microsoft Office Suite, Microsoft Windows (XP, 7, etc.), iOS, and email clients (Outlook) a must.
  • Excellent analytical and troubleshooting skills.
  • Must be a team player and have the ability to interact with multiple levels of personnel within the organization.
  • Must be highly motivated, self-starting, and committed to achieving results and have a strong sense of ownership and follow-through to resolution.
  • Must have strong problem solving skills and be able to come up with creative and flexible solutions.

Commitment 3-5 Hours per week

SharePoint Administrator

The Communications Team is currently looking for a SharePoint Administrator, who will be responsible for the day to day development and support of the SharePoint environment, custom solutions and installed products. You will work with the Technical Lead to deliver and support stable and qualitative Microsoft SharePoint solutions that support the PMI-LA Volunteers.
Responsibilities include but not limited to the following:

  • Perform SharePoint system administration including, but not limited to, analysis, capacity planning, integration and quality assurance on an as needed basis.
  • Manage site owner administration settings and features, Secure SharePoint sites as applicable.
  • Follow established processes and create documentation for maintenance; Provide knowledge transfer when applicable.
  • Set up navigation and search SharePoint sites.
  • Troubleshoot SharePoint related issues and provide user training and support.

Skills Required:

  • Experience in backup and restore of the SharePoint portals, site collections, sites, lists and libraries.
  • Good Knowledge of Microsoft SharePoint 2010 is beneficial.
  • Demonstrated success in building effective and productive relationships with other groups within PMI-LA Chapter.
  • Ability to work independently and manage multiple projects and priorities.

Commitment: 3-5 Hours per week

Social Media Manager

A Social Media Manager is responsible for actively engaging PMI-LA members by “influencing” within a social media channel. This role is for volunteers who want to develop a unique voice with a keen sense of what motivates chapter members. Primary responsibilities include: Management and development of editorial content on social media platforms, including tweets, posts and discussions. Proactively interacting with online communities across all platforms. Using social media monitoring tools to monitor conversations and report on metrics.

• Manage outbound and inbound user communication; address feedback and inquiries and become a trusted companion to the Group.
• Ensure all outbound content is formatted and tagged correctly for reporting purposes; reply appropriately to public commentary in a timely manner.
• Share and facilitate compelling, quality social content in addition to content produced by the PMI LA Volunteer Teams.
• Effectively communicate content mandatories and ideas to Group Members.
• Monitor conversations and generate insights for future strategy recommendations.
• Promote best practices and stay up to date on changes in the Social Media platform landscape.
• Develop innovative strategies to drive traffic to the PMI LA Website, platform posts and marketing initiatives.

Skills Required:

• Knowledge, training or desire to utilize marketing, communications, public relations, journalism, or HR skills. Able to develop an “authentic” voice that engages members over the long-term.
• Excellent organizational skills and ability to manage multiple projects efficiently.
• Excellent oral and written communication skills for effective communication to members, clients, internal staff and the management team.
• Ability to demonstrate tact, diplomacy and initiative when working with others. Knowing what material is tasteful and what is not.
• Passion for learning the latest interactive technologies and techniques.
• Currently active in PMI-LA events & meetings.
• Able to thrive in a fast-paced, self-starter environment.

Membership

Membership Venue Coordinator (Flagship & Santa Clarita Locations):

The Membership Venue Team is currently looking for two (2) detailed orientated individuals who will work with the Director of Membership Venue to plan, prepare and manage the PMI-LA Membership & Volunteer Desks during regularly scheduled meetings and special events.

Work directly with the Director of Membership Venue to:

  • Confirm attendance to Monthly Dinner Meeting
  • Review and collaborate on continuous improvements

Work individually on the following:

  • Store Membership Inventory (40 lbs. bag of supplies & equipment)
  • Setup & Manage Membership Desk
  • Conduct Monthly Inventory of supplies & equipment
  • Interact with PMI-LA Members and Guests
  • Assist potential members on signing up as members via laptop
  • Send Member sign-in sheet to Director of Membership Venue for follow-up

Required Skills:

  • Good organizational skills
  • Good communication and follow-up skills
  • Good soft skills
  • Good working knowledge of Microsoft Word, Excel, PowerPoint, Visio, and Vista Home Premium OS
Commitment: 4-5 hours/month

Membership Coordinator (PMI-LA)

PMI-LA’s Event Coordinator reports to the Director of Membership within the Membership Engagement Team. This is a volunteer position. The Membership Coordinator is responsible for engaging new PMI-LA members and partnering with the Event Coordination team to manage scheduled membership events. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision. Volunteering in this position would count towards project hours towards the CAPM or PMP Exams.

The ideal person for this role would have a passion for volunteerism, membership retention and engagement and most importantly the willingness to learn. Ideal person is someone who provides outstanding customer service, is an enthusiastic professional who is comfortable speaking in public, and is able to build relationships with internal and external customers.

Responsibilities:

• Assist with new member orientation
• Support retention plans for membership
• Coordinate and manage marketing plans established for events
• Coordinate sponsors for events
• Assist with set up and management of event with event coordinator
• Maintain the registration list for each event
• Man the membership table as needed for the flagship event and/or area based Membership Events. Includes set up and clean-up
• Update and maintain the current member database as needed
• Implements the quarterly/semester based program registration process for all members
• Willingness to lend a helping hand as needed

Skills Required:

• Must be an active member in good standing of PMI-LA
• Excellent communication skills, including writing, proof reading skills, and speaking.
• Excellent organization skills and experience with project management
• Excellent interpersonal skills both in person and by phone, with high professionalism.
• Ability to accomplish projects with little supervision.
• Fantastic customer service ethic and high expectations for quality.

Event Coordinator

PMI-LA’s Event Coordinator reports to the Director of Membership Events within the Membership Engagement Team. • Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies, equipment, and signage, and ensure appropriate décor to meet quality expectations 
• Conduct research, assist with site visits and find resources to help staff make decisions about event possibilities. 
• Create and revise room layouts for each event if needed. 
• Propose new ideas to improve the event planning and implementation process. 
• Serve as liaison with vendors on event-related matters. 
• Assist with coordinating on-site production and clean-up for events as necessary. 
• Close out all events, as required.
• Willingness to lend a helping hand as needed.

Event Administration

• Coordinate appointments and scheduling of events on the calendar. 
• Act as the point of contact for area-based events as needed.
• Help to document activities before and during the events for internal and external communications.

Director of Speaker Administration

Responsibilities:

  • Maintains a historic list of PMI- LA speakers and member feedback
  • Responds to inquiries of potential speakers submitted online or via voicemail, and adds to potential speaker list
  • Maintains a list of potential speakers, including preferred locations and time of year
  • Adds new speakers from Director of Speaker Engagement to potential speakers list
  • Regularly shares potential speakers list with Directors of meetings to help fill the pipeline for each location

Transition Group / Job Club Associate Director & Volunteers

This team manages the Transitions Group located in Santa Clarita at College of the Canyons. The team is looking for committed volunteers to assist the Director with these monthly meetings. Contact: noc.transitions@pmi-la.org

Satellite Meeting Volunteers

Various volunteers needed at all our satellite meetings around the Los Angeles County area.  These groups meet monthly and hold 2-hour meetings for chapter members.  Meetings are in the evenings unless otherwise noted. Venues include Alhambra, San Fernando Valley (Sherman Oaks), Pasadena (Morning Meeting), South Bay (Torrance), North LA County (Santa Clarita), Downtown (Quarterly Monthly Meeting).
